Online fleet management

Improvements in vehicle management at Tasmania’s Clarence City Council has led to the development of the Vehicle Coordination and Management System also known as VECOM. VECOM allows users to book Councils fleet online. It is efficient and coordinated, recording all the details necessary to better manage a fleet system.

Council did not want the increasing ongoing administration costs. A test of the market failed to identify a suitable off the shelf software solution. Developed with Pontville Software, VECOM has proved to be the suitable system for Council’s needs.

“Its value has been demonstrated by reduced administration time, ready access to booking vehicles by staff and the ability to attribute records on vehicle use and drivers,” said Clarence City Council’s Executive Officer Information Management, John Clements. “It also assists with eliminating risks associated with unauthorised drivers and enabling ready identification of driver in regards to traffic infringements.”

Features include the ability to book vehicles online, requiring the user to input such information as name, date, time, destination, reason and occupants. At any time users can view what vehicles they have booked. The system also facilitates administration management reporting by providing information, such as booking details, licence details, vehicle information and costing information.

“This system has resulted in savings to Council through a reduction in fleet, efficient management of leases and staff administration time, without affecting customer service,” John Clements said. “In addition, the product is easy to use and has gained ready acceptance by staff.”
