Records team is nation’s best

Logan City Council’s efforts to integrate almost 200,000 records from the former Allconnex Water have been acknowledged with a national award.

Governance, Finance and Economic Development Committee Chairperson, Councillor Luke Smith, said the records were transferred to Council’s files in July 2012 after Allconnex Water was disestablished and Council resumed responsibility for water and wastewater services across the city.

“Council’s Records Management program knew it would be a big task to ensure the information Allconnex Water had collected over its two years of operations would be readily available and easily accessible when Council was again managing water services.

“We received both hard copy and electronic records from Allconnex Water, including 45 archive boxes of physical records and more than 30,000 electronic documents. The team worked tirelessly to integrate all of these into Council’s record systems by January 2013. It is a phenomenal achievement”

Cr Smith said those efforts had now been recognised at the recent Records and Information Management Professionals Australasia international convention, with Council winning the J Eddis Linton Award for Excellence in Records Management.

“Good recordkeeping plays a major role in us providing good customer service. Our staff need to have the right information at their fingertips to help our residents and businesses with their day-to-day water needs but we also needed to ensure that we met all privacy and confidentiality requirements where sensitive information was concerned.

“The Records Management program developed tip sheets, provided training and held regular meetings with staff to make the change as smooth as possible and worked with our Information Services branch to develop the technical aspects needed for such a large project.”

CEO Chris Rose said the award was a great honour for staff who had been involved with the records transfer.

“Recordkeeping and management is a profession that has been around since 15,000 BC and is the hidden cog in the wheel of all businesses, organisations and particularly in government agencies.

“We have a great records team here at Logan that manages more than six million corporate records and processes almost 6,000 items every month.”
