A Technical Services request tracking system has streamlined operations at Tasmania’s Clarence City Council.
The system provides a simple data entry system which identifies the budget area the work is to be funded from, the type of work to be carried out, the location and other details.
Developed by Spatial Information Systems Officer, Todd Steele, the new system attributes costs for specific works, tracks customer requests and internal work orders, and provides clear data for reporting.
It records all requests, ensures requests are completed, and allows efficient retrieval.
This has resulted in improved customer service and budgeting for asset maintenance.
Implementation of the system involved cooperation across the Technical Services, Finance, Administration, Human Resources and Information Technology Departments.
Todd Steele said that the Technical Services Request Register and Works Authority System has streamlined management of requests, ensured follow up, and given clear cost allocation.
Individual Managers can monitor current performance as well as supply data for future budgeting and operating plans.
Todd said that the system has been well received by staff and customers.
The system will be superseded during this year by another product, known as Maximo. Once implemented, the new product will integrate all the new software solutions, which Clarence has been implementing, to become even more efficient.
